Terms of Service

1. Who you're contracting with

These terms form an agreement between you ("you") and RefundFlow, an independent product operated by a registered freelancer in Portugal ("we", "us"). For payment processing and tax compliance, our merchant of record is Polar Software, Inc.

2. Account eligibility

• You must be at least 18 years old (or the age of majority in your jurisdiction).
• You must provide accurate registration information.
• You may not share your account credentials.
• You're responsible for all activity under your account.

3. What RefundFlow does

RefundFlow helps you:

• Audit recurring charges on uploaded bank or card statements (in memory only — see Privacy Policy)
• Track subscriptions and renewal dates
• Generate refund request emails and (Pro) submit them on your behalf to merchants

We do not: issue refunds ourselves, dispute charges with your bank, file chargebacks, or guarantee any refund will succeed. The merchant of each individual charge decides whether to refund.

4. Free and Pro plans

• Free: 1 scan / month, up to 5 subscriptions tracked, 1 free refund request.
• Pro Monthly: $7.99 / month. Unlimited scans, subscriptions, and refund automation.
• Pro Yearly: $59 / year. Same as Pro Monthly, billed annually.

Prices include applicable VAT / GST / sales tax. Polar collects and remits taxes globally.

5. Payment, renewal, and cancellation

Pro subscriptions auto-renew on each billing cycle. You can cancel anytime from your Dashboard — cancellation is immediate but you retain Pro access until the end of the already-paid period. We do not pro-rate refunds for partial periods except as required by consumer protection law (see Section 6).

6. Right of withdrawal (EU consumers)

EU consumers have a 14-day right of withdrawal starting the day after subscribing, under Directive 2011/83/EU. To withdraw, email support@pandaentry.com within 14 days. Refund is processed within 14 days of receipt.

Note: By using paid features immediately after subscribing you may waive the right of withdrawal for those features actually consumed (Art. 16(m) of the same directive).

7. Acceptable use

You agree not to:

• Upload statements you don't own or have permission to process
• Use the service to submit fraudulent refund requests
• Attempt to extract, scrape, or reverse-engineer our systems
• Resell or sub-license access
• Use the service in a way that violates any applicable law

We may suspend or terminate accounts that violate these rules without notice or refund.

8. Intellectual property

All RefundFlow software, branding, and content is owned by us. Your data (statements, subscriptions, refund requests) remains yours — we hold a limited license only to run the service for you.

9. AI-generated content

Refund emails, duplicate-detection reasoning, and chat responses are generated by large language models. They can be wrong. Review every AI-generated email before sending. We are not liable for errors in AI output.

10. Disclaimers

The service is provided "as is" and "as available". We do not warrant that any specific refund will be granted, that scans will detect all recurring charges, or that the service will be uninterrupted.

11. Limitation of liability

To the maximum extent permitted by law, our total liability for any claim arising out of these terms is limited to the greater of (a) €100 or (b) the fees you paid us in the 12 months preceding the claim. We are not liable for indirect, consequential, or punitive damages.

Nothing here limits liability that cannot be limited under EU / national consumer protection law.

12. Termination

You can delete your account anytime from Dashboard → Settings. We may terminate accounts that violate these terms. On termination, your data is deleted within 30 days except where retention is required by law.

13. Changes to these terms

Material changes are emailed to active users 30 days in advance. Continued use after the change takes effect constitutes acceptance.

14. Governing law

These terms are governed by Portuguese law. Disputes are subject to the courts of Lisbon, Portugal, except where EU consumer law gives you a right to sue in your home jurisdiction.
